I do not see any major issue with the letters, except the one you already mentioned. It is true that we do not really have a feeling for what they are willing to give. So I would rather not call the amount of 1000 EUR "small", it may be perceived as offensive. I think it is appropriate to suggest this concrete amount, but in addition we also could leave it open to accept other donations than money. I'm not sure in which way exactly we could mention a potential reception in Rathaus or Landhaus.
One more thing: instead of "zentralen Meetings des Fachs", I think it is more appropriate to write something like "zentralen Meetings dieses Teilbereichs der Mathematik".

Martina told me that the city of Vienna never supports conferences by cash, but instead, they invite the conferences to the historic city hall for an overwhelming welcome reception. I have never heard anything like that about Linz, but if we knew beforehand what they are willing to offer, it would be good to ask them for exactly this. Also, I don't have a good feeling
